FOR SELLERS AND REAL ESTATE AGENTS

SzIM Property File
Review.

How complete is the apartment and condominium documentation you present to a buyer?

We review the materials you upload to Google Drive, identify missing information and useful additions, and issue a certificate describing the file’s completeness and its usefulness for a buyer’s due diligence.

An initial assessment, recommended additions, one available follow-up review, and a certificate.

The certificate concerns the completeness of the documentation.

It does not assess the apartment’s or building’s condition, value, technical compliance, or freedom from legal risk.

WHO ASSEMBLES IT?

The seller prepares it. The agent can help.

The seller assembles the SzIM property file, or the real estate agent does so with the seller’s cooperation and authorization. Documents should be legible, organized under a table of contents in a paper binder, and uploaded with clear filenames to a Google Drive folder.

The current SzIM service reviews an already assembled file. Obtaining and organizing the documents and addressing identified gaps are the client’s responsibility.

01 · FOR PROSPECTIVE BUYERS – SHAREABLE DOCUMENTS

For an Informed Decision

Include documents that provide substantive information about the apartment and building and may lawfully be shared.

  • Floor plan, energy performance certificate, and documents used to present the apartment.
  • Condominium rules, relevant owners’ meeting decisions, and financial and renovation information.
  • Available technical assessments, information on expected costs, and the file review certificate.
02 · FOR THE NEW OWNER – OTHER DOCUMENTS

For an Organized Handover

Keep documents that are useful to the new owner, personalized, or needed at handover in a separate folder with restricted access.

  • Utility and service documents, recent bills, and information needed to transfer accounts.
  • Instructions for installed equipment, warranties, and service and renovation records.
  • Handover documents, meter readings, and necessary contact details.

A separate folder is no reason to withhold material information. Information that is material to the buyer’s decision and may lawfully be disclosed should be available before signing. Redact unrelated personal data from copies shared with prospective buyers, and grant named users read-only access. Do not make the entire archive public.

THE REVIEW PROCESS

Feedback, one round of corrections, and a certificate.

  1. Assembly and Request

Collect and organize the apartment and building records, upload them to Google Drive, and send your review request. We confirm access arrangements and service terms in our reply.

  2. Initial Assessment and Missing Items

We assess the completeness of the uploaded materials and list missing documents, unidentified or unreadable files, and recommended additions.

  3. Additional Documents and One Follow-Up Review

Use our feedback to add documents. After the initial assessment, you may request one further review of the updated file as part of the process.

  4. The File Review Certificate

We issue a certificate based on the final review, describing how complete the documentation is, what gaps remain, and how it supports the buyer’s decision and due diligence.

AN EVERYDAY EXAMPLE

Think of checking your bags before a trip.

Before traveling, we pack the essentials: our identification, insurance documents, and a change of clothes.

IdentificationInsurance PolicyA Change of Clothes

A completeness check confirms whether these items are present. It does not assess whether the clothes match our hair color or whether the insurance policy is wrinkled.

Likewise, a SzIM property file review certifies the presence of required documents and the completeness of the documentation. An expert report describing poor physical condition can make a file more complete, even though it does not improve the building itself.

A DOCUMENT GUIDE FOR SELLERS AND AGENTS

What documents should I collect?

This list provides professional guidance for assembling a SzIM property file. The apartment and building determine which documents are relevant. Clearly note anything that is missing or unavailable.

From the Condominium Representative, With the Seller’s Involvement

As a real estate agent, contact the representative with an itemized request and suitable written authorization from the owner that covers inspecting and receiving the documents.

  • Condominium Deed and Amendments: clarify whether the documents provided include all known amendments.
  • Organizational and Operational Rules and House Rules: rules governing use of the apartment and common areas, allocation of expenses, and alterations.
  • Owners’ Resolution Register and Relevant Minutes and Resolutions: particularly decisions on renovations, special assessments, loans, and use of the apartment.
  • Annual Condominium Fee Breakdown and Statement of Arrears: the apartment’s regular and already approved additional payment obligations, along with any outstanding condominium fees or confirmation that none are due.
  • Most Recent Approved Annual Accounts and Budget: to understand renovation reserves, planned work, and funding.
  • Condominium Insurance Documents: the policy and key coverage information.
  • Available Technical Documents: condition assessments, diagnostic reports, renovation plans, floor plans, and relevant safety documents.
  • Other Information Relevant to the Sale: a transaction-relevant summary of known condominium litigation, regulatory proceedings, and commitments, plus the representative’s contact information.

This is a recommendation for gathering documents, not an unrestricted right to disclosure. Whether specific records can be released, the scope of authorization, and personal data protection must each be considered.

From the Seller and Other Appropriate Sources
  • The apartment’s title record and the condominium’s master land registry record.
  • Energy performance certificate and electrical safety inspection documentation, where available or required for the transaction.
  • Floor plans, technical drawings, and records of alterations and renovations.
  • Documentation for installed equipment, warranties, service records, contractor agreements, and necessary contacts.
  • Utility agreements, recent bills, and documents needed for handover and account transfers.

Identify the sources in advance: the condominium representative does not hold every document relating to an apartment.

Legal reference: Section 45 of the Hungarian Condominium Act governs access to resolutions, while Section 46 concerns statements of condominium fee arrears when ownership changes. This professional document checklist is broader in scope.

What does the certificate mean?

It shows the reviewed file’s level of documentation at the time of assessment. Remaining gaps are listed so the buyer can see what information is available and what still needs clarification.

  • The certificate relates to the identified apartment and the version of the file reviewed.
  • An incomplete file can still be assessed: the review concerns the documents actually available.
  • The file review is not a SzIM index assessment, condominium audit, or property appraisal.
  • Checking that documents exist does not automatically establish that their contents are true or legally valid, or that the property is free of defects.
